Why it exists
Marks live in the exam secretary's spreadsheets. Conduct sits in the discipline team's log book. Fitness results stay with the PE department. Club membership is a list somebody keeps in a drawer. Each record is looked after well, and none of them can see the others.
So when a form teacher needs to understand a student who is struggling, or a reference letter is due in a week, someone reconstructs six years from memory and whatever files can be found. The Student Profile Portal removes that scramble by keeping the whole record in one place, from the day a student enrols.
The record
Each entry is stored with the date it happened and the name of the member of staff who recorded it, so the record can be read years later and still make sense.

Written summaries
Reports, references and parent meetings all need the same thing: a few sentences that say what a student's record actually shows. Writing those sentences for thirty students, from four separate sources, is where a form teacher's evenings go.
The portal reads the record it already holds and drafts that paragraph. It draws only on entries the school itself has recorded, and it points to the terms and dates behind what it says.
The draft is a starting point, never a verdict. A teacher reads it, corrects it, rewrites what is wrong and adds what a record cannot know. Nothing leaves the portal until a person has approved it.
Results have been steady across the year, with mathematics and physics improving between Term 1 and Term 2 while English has held level. Attendance at debating has been consistent since Form 3, and the captaincy this year is the first formal leadership role recorded. Fitness results show clear improvement in endurance.

Handling records
The school owns what it keeps. Records are held for the school and are never sold, shared with advertisers, or used to build anything outside the school. The school decides what goes in, how long it stays, and when it is removed.
Access follows the role. A student sees their own record and nobody else's. A teacher sees the students they are responsible for. Wellness notes are held more tightly than results, because they should be. Administrators set these limits and can change them.
Every entry is attributable. Each record carries the name of the person who created it and the date it was created, so a record can be questioned, corrected and understood later.
Sessions close themselves. A portal left open on a shared staffroom computer does not stay open, and signing in again takes one tap.

The portal is in daily use at a Hong Kong secondary school, where it was built alongside the teachers who use it rather than for an imagined one. It is now open to other schools that want the same thing for their students.
